Invitations
New people join a team through an invitation. There’s no way to create a user account directly inside the team — you send an invitation to their email address, and they complete the process from there.
Sending an invitation
Section titled “Sending an invitation”From Manage Team, enter the person’s email address and choose their role. A few rules apply:
- You can only assign a role at or below your own level — see Roles and Permissions. Nobody can invite someone directly as Owner.
- You can’t send a second invitation to an email address that already has a pending one — resend the existing invitation instead.
- You can’t invite someone who is already a member of the team.
If your plan bills per seat and the invitation would exceed the number of licenses you’ve currently purchased, you’ll be asked to confirm adding another license before the invitation is sent.
What the invited person receives
Section titled “What the invited person receives”The invitee gets an email with a link to accept the invitation, along with the name of the company inviting them and a contact person (normally the account Owner).
When they click the link:
- If they don’t have an account yet, they’re taken to a sign-up form with their email pre-filled (and locked, so it can’t be changed to something else). Completing sign-up joins them to the team automatically with the role they were invited at.
- If they already have an account and are logged in, and the invitation matches their email address, they join the team immediately — no extra confirmation step.
- If they’re not logged in, they’re asked to log in first, and are then joined to the team automatically.
Because clicking the link proves the person owns that email address, the email is automatically verified as part of accepting the invitation — no separate confirmation email is needed.
Once joined, the new member receives a welcome email confirming their account is active, with sign-in details and a link to the workspace.
Pending invitations
Section titled “Pending invitations”Invitations that haven’t been accepted yet show up in a Pending Invitations list on the Manage Team page, with the email address, assigned role, and who sent it.
From this list, Administrators and the Owner can:
- Resend — sends the invitation email again, useful if the original was missed or expired from the recipient’s view. This doesn’t change the invitation itself, just re-sends it.
- Cancel — permanently removes the invitation. The link in the original email stops working. To invite the same person again afterwards, send a new invitation.
An invitation stays pending indefinitely until it’s either accepted or cancelled — there’s no automatic expiry.
If someone has multiple pending invitations
Section titled “If someone has multiple pending invitations”A person can have open invitations from more than one team at the same time (for example, if they work with multiple companies). Each invitation is accepted separately and independently joins them to that specific team with the role specified in that invitation.
