Work Log
The work log records how much time each technician spent on a job, broken down by type of work. This is used for reporting, billing verification, and understanding where time goes across the team.
Work time entry fields
Section titled “Work time entry fields”| Field | Description |
|---|---|
| User | Which technician this entry is for |
| Work type | The category of time (see below) |
| Duration | How much time was spent — enter it in hours or minutes (see below) |
| Notes | Optional notes about what was done |
Duration can be entered either as hours (e.g. 1.5, to one decimal place) or as minutes (whole numbers only) — pick the unit from a dropdown next to the field. Whichever unit you use, the entry is stored and reported in minutes.
Work types
Section titled “Work types”Work types are the categories used to classify time entries. The built-in types are:
| Code | Label |
|---|---|
| work | Work |
| travel | Travel |
| overtime | Overtime |
| free_time | Free time |
| errandings | Errands / admin |
Work types are a fixed list; they aren’t user-configurable within Jobs settings.
Adding a work log entry
Section titled “Adding a work log entry”On a job record, open the Work log tab and click Add entry. Select the technician, work type, and duration (in hours or minutes). Add notes if relevant.
Dispatchers can add entries for any technician on the team. Employees can add entries for themselves, and can also log time for a teammate if that teammate is eligible to work on the same job — for example a fellow member of an assigned crew, or another employee directly assigned to the job.
Entries can’t be added at all once the job’s status is in the “Done” or “Cancelled” category (Completed or Cancelled, by default) — except by a dispatcher, who can still log and correct time on a locked job.
Editing and locking
Section titled “Editing and locking”Work log entries can be edited after the fact, but entries become locked after the week they were created ends (from the following Saturday). A locked entry cannot be edited or deleted by the technician who created it — a dispatcher can still make corrections. An entry is also locked for editing while its job’s status is in the “Done” or “Cancelled” category, even within the same week — again, dispatchers are exempt from this lock.
Viewing the full work log
Section titled “Viewing the full work log”Go to Jobs → Work log to see all time entries across all jobs.
Dispatchers see all entries. Employees see only their own.
Filtering and sorting
Section titled “Filtering and sorting”The work log list can be filtered by search (job title, project, crew, user, work type) and sorted by any column.
Exporting
Section titled “Exporting”The export includes: date, job title, project, crew, user, work type, duration, and notes.
