Tags and Categories

Both tags and categories let you group customers for filtering and reporting. They work differently and serve different purposes.

Tags are flat labels — short words or phrases you attach to a customer, like “Priority”, “Government”, “HVAC only”, or “Late payer”. A customer can have any number of tags.

Tags are searchable and can be used to filter the customer list.

Go to Customers → Tags to see all tags.

  • Creating a tag — click Add tag, enter a name, and save. Tag names must be unique (case-insensitive).
  • Editing a tag — open the tag and change the name. All customers with this tag are updated in the search index automatically.
  • Deleting a tag — removes it from all customers it was assigned to.

Open the customer record and use the Tags field to add or remove tags.


Categories are hierarchical. You can have a top-level “Commercial” category with subcategories “Hospitality”, “Retail”, and “Office Buildings” under it.

When filtering the customer list by a category, customers in any of its subcategories are included automatically.

A category is only shown in selection lists if it and all of its parent categories are active.

Go to Customers → Categories to see the full category tree.

  • Creating a category — click Add category, enter a name, optional description, and select a parent if applicable.
  • Editing a category — open it from the list to change the name, description, parent, or active status.
  • Deleting a category — deletes the category and all its subcategories. Customers that were in the deleted category lose that assignment.

Categories are assigned on the customer record itself. A customer can belong to multiple categories.
